Scheduled Maintenance of Building Facilities and Equipment

To establish and maintain to ensure that maintenance of the building facilities and equipment is properly planned, scheduled and conducted at planned interval in order to:

  • Reduce capital repairs;
  • Reduce unscheduled shutdowns and repairs;
  • Extend equipment life, thereby extending facility life;
  • Realize life-cycle cost savings, and
  • Provide safe, functional systems and facilities that meet the design intent.

Scope

Apply to all routine maintenance of building facilities and equipment at Pustaka Negeri Sarawak, Sibu which are include:

  • Civil, Structural and Architectural Services
  • Housekeeping Services
  • Pest Control Services
  • Landscaping
  • Mechanical Services
  • Electrical Services

Process Details

Preparation of Maintenance Schedule

In the first quarter of the year, the Head of Facility Management Unit (HFMU) shall prepare the Pelan Penyelenggaraan Tahunan of the year and submit it to the Regional Manager (RM) for endorsement

Upon receipt of the Pelan Penyelenggaraan Tahunan, the RM shall endorsed it.

Implementation of Scheduled Maintenance-In-House

JA29 shall do the maintenance work according to Pelan Penyelenggaraan Tahunan via the appropriate forms below:

  • FRM-CM-SB-04 Borang Pemeriksaan Kebersihan Bangunan
  • FRM-CM-SB-05 Borang Bacaan Suhu dan Kelembapan
  • FRM-CM-SB-07 Borang Pengesahan Selepas Kerja
  • FRM-CM-SB-08 Borang Pemeriksaan Aksesori Elektrik
  • FRM-CM-SB-09 Borang Pemeriksaan Perabot dan Kelengkapan Pejabat
  • FRM-CM-SB-10 Borang Pemeriksaan Kelengkapan Tandas
  • FRM-CM-SB-11 Borang Pemeriksaan Sistem Bangunan
  • FRM-CM-SB-27 Borang Semak Pemeriksaan Kebersihan Café

JA29 is unable to complete the task due to the complexity of maintenance work, refer process ===Implementation of Scheduled Maintenance – Outsourced===

Implementation of Scheduled Maintenance – Outsourced

JA29 shall identify the scheduled maintenance work and engage the relevant contractors to do the maintenance work.

JA29 shall verify the completion of maintenance work via the Borang Pengesahan Selepas Kerja or in the Maintenance Report by contractor within 3 working days from date of completion

  • If the work done is not satisfactory, the JA shall notify contractor to redo the maintenance work.
  • If the work done is satisfactory, the JA shall certify the work by completing the Borang Pengesahan Selepas Kerja or in the Maintenance Report.

The Supervisor shall endorse in the Borang Pengesahan Selepas Kerja completed by JA.

Control of Documented Information

Pelan Penyelenggaraan Tahunan shall be kept by JA at the Facility Management Unit, Workstation.

JA29 shall ensure the following forms uploaded into Pustaka ISO 9001:2015 Online database:

  • FRM-CM-SB-04 Borang Pemeriksaan Kebersihan Bangunan
  • FRM-CM-SB-05 Borang Bacaan Suhu dan Kelembapan
  • FRM-CM-SB-07 Borang Pengesahan Selepas Kerja
  • FRM-CM-SB-08 Borang Pemeriksaan Aksesori Elektrik
  • FRM-CM-SB-09 Borang Pemeriksaan Perabot dan Kelengkapan Pejabat
  • FRM-CM-SB-10 Borang Pemeriksaan Kelengkapan Tandas
  • FRM-CM-SB-11 Borang Pemeriksaan Sistem Bangunan
  • FRM-CM-SB-27 Borang Semak Pemeriksaan Kebersihan Cafe

Retention of Documented Information

The Supervisor/ Designated Officer (DO) shall keep completed forms at the Facility Management Unit Workstation.

Documented information generated as a result of the management of change shall be retained for a period of five (5) years from the dates of its completion.

Disposal of Documented Information

Documented information generated as a result of the management of change shall be disposed in accordance to records management practices of Pustaka Negeri Sarawak.
