Management of destruction of non-archival records (Financial records)

The process of destruction of non-archival (Financial records) records are:

1. When receiving application for disposal of financial records from government department/agency, the designated officer shall ensure that all listing of financial records received are using Borang Pemisahan Rekod FRM-RM-04 and complete by following the format.

2. Based on the Borang Pemisahan Rekod FRM-RM-04, the designated officer shall ensure all the records are classified as open (Terbuka) and reached the retention period according to Arahan Perbendaharaan 150 or Local Authorityial Regulation (LAFR) or any other financial instructions.

3. Once all the criteria have been complied, a letter will be send to department/agency to inform them on the following matters:

  • To get approval for disposal from Jabatan Audit Negara Cawangan Sarawak and Akauntan Negeri Sarawak.
  • The department/agency must submit to Pustaka Negeri Sarawak a copy of the approval letter from Jabatan Audit Negara Cawangan Sarawak and Akauntan Negeri Sarawak.

4. Upon approval from Jabatan Audit Negara Cawangan Sarawak and Akauntan Negeri Sarawak, Pustaka will send a letter of approval to department/agency to conduct disposal of records.

5. The department/agency must set the date,time and location of disposal activities by notifying with a letter via post or fax to Pustaka Negeri Sarawak to witness the process.

6. Once received the letter from the department/agency, the designated officer will witness the destruction of records according to the date, location and time as agreed between the department/agency and Pustaka Negeri Sarawak.

7. Upon completion of disposal process, a certificate (Sijil Penentusahan Rekod Kewangan) of records disposal will be issued to the department/agency.
