Knowledge identification is a process in knowledge management.

Identification Process

Based on the functions of Pustaka Negeri Sarawak, the main business processes, also called the knowledge domains where the knowledge exits, are determined. The sub processes, also termed called the knowledge assets, are then identify from each main business process.

By studying the activities, results and outcomes associated with the sub processes, the actual sources of knowledge are identified. Most common sources of knowledge are undocumented process, documented standard operating procedures and guidelines, reports and lessons learned and the actual person executing the work.

The core functions or main processes of the department or business operating unit, for example Procurement or Marketing'. All of the core functions must be listed.

The sub processes within the main processes, for example Payment or Storing. All of the sub processes within one main process or function must be recorded.

The main sources of information or knowledge that describe or explain about the sub processes. These can be in the forms of standard operating procedures, work instructions, guidelines or embedded processes.

Specify if the main sources are explicit (coded, documented, written or draw) or tacit (skills, inert abilities, talents). For example, standard operating procedures and guidelines are explicit knowledge, while the ability to read body language is tacit.
Specify how the knowledge is to be captured. Normally, explicit knowledge is recorded down in a knowledge base. Most tacit knowledge is transferred via mentoring system. Certain tacit knowledge can be converted into explicit knowledge by coding and documenting it.

Once these sources are identified, they are categorised into tacit or explicit knowledge. For each type of knowledge, the methods of capture are determined.

Knowledge Inventory

After the knowledge or information has been determined, it is recorded into a ledger called the Knowledge Inventory or Knowledge Map. This ledger can be electronic or manual. In the Pustaka Negeri Sarawak, the Knowledge Inventory is prepared electronically, but published in hardcopy.
