Preservation and Conservation of Records and Archival Materials
Archives Management Division, Depository Services Sector is responsible for preserving and providing access to the public records which were transferred by state department/agencies to State Records Repository with archival value as stated under the Sarawak State Library Ordinance, 1999 Part IV Section 14(1) – (d).
Public records that have been transferred to State Records Repository (SRR) by state departments/agencies have diverse materials types or formats, from monographs to electronic/digital records and audio/video recordings. Over time especially paper records will deteriorate, but the lifespan of records can be prolonged based on how they are managed and stored, preservation and conservation actions applied throughout their lifecycle.

Objectives
- In order for records and archives materials ready for future reference, the conservation works must be carried out properly according to the archival standard.
- To ensure the originality of the records and archives remains the same as it is.
Paper based Preservation and Conservation
A. Preventive conservation
Preventive conservation for paper-based records is the creation of an environment in which the factors detrimental to the archival materials cannot exist. The control of the proper environment, shelving and handling practices, are the basic requirements that are needed as preventive conservation measures of archival materials.
B. Curative conservation
Basic and complex treatments of paper-based records include removing adhesive tapes, ring binding, or staples. At State Records Repository, the first step taken in preserving the transferred files/records are done based on the Guideline Processing of Transferred of Public Records and Archives.
C. Restorative conservation
Minor repair techniques will be performed on records received in the dilapidated state. While for records that are badly damaged, major repairs will be done based on the physical condition of the records.

Storage
The physical security of the records is primarily dependent on the storage environment, handling, servicing of the material and steps adopted to safeguard them against fire hazards, floods and other natural disasters.
The public records and archives transferred to State Records Repository are storage at repositories at State Records Repository. The records are stored in ideal storage environment and round the clock operation of air-conditioning is provided to maintain the temperature and relative humidity within the optimum range that is suitable for the records.
Repository Room Characteristics
1. Security: Finger Print Access
Each repositories room at State Records Repository only can be access by designated officers.
Example:
In the repository room where files/records are stored, only officers from the Archives Management Division have permission to access.
